India stallholder checklist for exhibitions, fairs and festivals

Preparing to apply for an exhibition, shopping mela, Garba event, craft market or food festival in India? Check the following details before paying any application or stall rental fee.

Application is not allocation. Paying a BookEventStall service fee only submits your details for organiser review. The organiser handles stall rent, any separate charges and final space allocation.

Five checks before submitting an application

  1. 1. Select the right event

Check event dates, venue, city and accepted categories. A craft fair, Garba stall, shopping festival and professional trade exhibition attract different visitors.

  2. 2. Check the organiser and actual venue

Confirm the event organiser contact, full venue address, stall dimensions, setup access and the published event schedule. Avoid assuming a venue name is a city.

  3. 3. Prepare your product showcase

Have a clear product or stall photo, brand name, product category, city, mobile contact and short description ready. Organisers may ask for licences or documents that depend on what you sell.

  4. 4. Separate the two types of payments

BookEventStall’s application service fee for an eligible Indian event is separate from the stall rent. The event organiser decides acceptance and handles rental directly.

  5. 5. Confirm written allocation

Ask the organiser for the stall location, dimensions, included furniture, electricity, cancellation terms and payment receipt before treating the space as booked.

What happens after applying?

Your application is forwarded for organiser review. A status such as “Viewed” only describes a review action: it does not mean the stall is reserved. Confirm selection, stall placement, rental details and official contact before committing to an event.
